STEP 1: PROVIDE DETAILS

Take and send our team multiple High-resolution Photos of your item along with all the required item details, shipping, and selling price. That’s it, and you’re done! As a courtesy, while we launch our Community Platform, all Vendor Memberships will include our Ambassador Services at no additional charge. That means we will create, list, and manage all your items for sale!


STEP 2: SHARE YOUR ITEM & CREATE SOME BUZZ

Promote, share, and spread the news to your friends and the community about your new listing. Collectors Elite will also share your listing with our community on social media. We will manage and confirm any buyer inquiries or messages with you to help seal the deal.


STEP 3: SHIP & EARN MONEY

Our team will notify you once your item sells, and where to ship it. Time to take pictures of proof when packing your item and send us them along with a copy of the tracked shipping number and service used. Once the buyer receives their order and confirms all is well, your funds will process according to your account’s payment method and payout schedule.

Collectors Elite takes great pride in the marketplace we have created for our community. To maintain the authenticity and high expectations of the rules in place, all Community Members are required to have an active Membership.

Requirements:

    • Members are of 18 years of age or have the legal consent of a Guardian
    • Members are allowed one membership account
    • All accounts are upon application approval & subject to our vetting process
    • Removal of Members found to be harming our community or in violation of our Terms of Use & Services
    • Banned/Removed members will not be allowed a new account or to return


We welcome all Collectors and offer several Membership tiers depending on the features & privileges a member wishes to use. Upon initial review of your application, a Collectors Elite representative will be in touch to complete our vetting process. Please note, as a part of our vetting process, we may require or request essential pieces of personal identification and supporting documents.

WHAT YOU CAN SELL ON COLLECTORS ELITE

Our Marketplace focuses specifically on Collectables and Memorabilia Only!

As a Vendor Member, you must ensure that all items listed have been verified and are guaranteed to be Authentic. All appraisals and verifications must be by an accredited and reputable company accompanied by a C.O.A (Certificate of Authenticity).

This guarantee is the sole responsibility of all Vendor Members, which must provide at minimum a full 90-day Authenticity Guarantee on all items sold.

Some of our requirements for listing:

    • Items are authentic, graded or verified and appraised
    • Items which that have not been graded or assessed by a recognized body will not be permitted
    • Include all available C.O.A with all orders
    • All vintage items are appraised or verified by a recognized party
    • All items listed are available at the set price of purchase
    • All items for sale clearly state the condition, including any minor to any slight defects or damages to retail packaging
    • Retail arbitrage or arbitrage selling is strictly prohibited and NOT allowed
    • It is Mandatory to ship all items with a valid tracking number with full insurance coverage
    • All items listed are in your possession
    • You are the legal owner with full rights to sell that item
    • Items are not stolen or sold without the owner's consent
    • Items do not violate intellectual property policies or laws
    • Items listed follow and comply with our Terms of Use Policies
    • Items are listed, sold and shipped in compliance to local laws and duty regulations including the actual declaration of value
    • Collectors Elite can ask Vendors at any time to provide proof of original purchase, a guarantee of authenticity, C.O.A, as per our Authenticity Guaranteed Policy

WHAT YOU CAN'T SELL

Due to the nature of some goods and applicable laws, some items are not allowed to be listed

These items include:

    • Guns, firearms, or weapons, including knives, swords
    • Alcohol, Tobacco, Drugs, Drug Paraphernalia, Medical Drugs
    • Consumable goods or products
    • Animal products and human remains
    • Dangerous or Hazardous materials
    • Items which may promote or support hate, discrimination, extreme violence
    • Internationally regulated items
    • Pornography or mature, sensitive content

PHOTO IMAGE GUIDELINES

All main images must be on a pure white background

One of the challenges with online shopping is that customers are not able to hold your product physically. It is vital for all images to be high quality, taken in focus, and to highlight all essential details, features, or flaws. Be sure to mention and include in your product listings any necessary information which may be hard to capture with pictures.

The primary image customers will see when they browse or search for items on Collectors Elite is called the "Main" Image. Ensure this "Main" image is the most appealing and information-rich picture for your listing.

Requirements:

    • All images must be on a pure white background
    • Images should be in focus, non-pixelated and clear
    • Main listing image is of the product ONLY and should not contain any excluded accessories
    • They must not show any props, stands, stand holders
    • Mock-ups, illustrations, text representations, placeholders are not allowed
    • Images must be free of any Logos, watermarks, company names, trademarks
    • No additional added text or graphics are allowed on product images
    • All product images must match the title and product description
    • Include a minimum of 2 product images for all listings
    • Pictures shall not contain any nudity or be sexually suggestive, not contain graphic violence
    • Images accurately represent and only show the product for sale


Prohibited

    • No product images should include or create reference or confusion to Collectors Elite, the Collectors Elite Name, our logos, or trademarks.
    • Nudity or sexually suggestive images
    • Images with graphic violence
    • Images or Pictures of kids, babies or underaged children


Prohibited Listing Images

    • Non-white backgrounds
    • Images which contain additional text, borders, graphics, logos, trademarks, watermarks, added descriptions and or any promotional materials

    • Images which have been cropped by frame or capture
    • Images which are out of focus, pixelated or are less than 85% of the image frame

As a seller, do not list any item(s) which have not been or cannot be verified or Guaranteed to be Authentic.

Members trust that they can buy items available on Collectors Elite with confidence and receive Authentic products in the condition listed and described.

As a Vendor Member, it is your responsibility to understand, follow, and to ensure all items include an Authenticity Guarantee & Condition Guarantee.

      • Customers have 90 days to file a claim or raise awareness of any concerns to the validity of an item's authenticity.

CONDITION & LISTING DETAILS

Make sure to describe what you are selling clearly and to mention in writing any visible damage, dust, or marks, including the retail packaging, if applicable. Do not assume customers will notice minor damages in pictures. ENFORCEMENT
Our Collector Community focuses on the trust and security of all members. Collectors Elite may take the following actions on any listings items which may be counterfeit or not authentic:

    • Cancel and remove your listings
    • Suspend or block any held Memberships
      • Ability to sell & list
      • Ability to Purchase or post any material(s)
      • Access to any affiliated services
      • Withhold your payments
    • Charge for full reimbursement of any order(s) amounts plus fees
    • Charge for any additional costs incurred or associated
    • Cooperate with law enforcement if required
    • Additional actions can be taken if necessary

OUR POLICY

It is against the law to sell counterfeit goods and replicas. It is against the Collector Elites Terms of Use & Services Policy. Collectors Elite DOES NOT make or shall not be held liable for the loss or misdirection of or any harm brought forth by the items listed or sold by Vendors. It is the sole responsibility of all Vendor Members to read in full, understand and agree to our Authenticity & Guarantee Policies and Terms of Use & Services.

GRADING & APPRAISALS

Only Graded, Authenticated or Appraised Items are permitted for sale.

Before listing any items for sale, it is your responsibility to ensure they are Authentic, graded, or appraised by a recognized company or organization. If you are not sure or cannot guarantee these basic requirements, do not list that item until it has been verified.


REQUIREMENTS

    • Items are authentic, graded or appraised by recognized & reputable company
    • Items that do not meet these criteria are not allowed to be listed
    • All vintage items must have an appraisal, or verified by a recognized party
    • All items with a C.O.A must be provided and delivered with orders
    • Vendors are solely responsible for all items listed and to follow our Authenticity Guarantee Requirements
    • Items must be legal for sale and obey all applicable laws

As a Vendor, it is your responsibility to know the source of your items. Whether purchased at an estate sale, trade show, or from any 3rd party, it is your responsibility to do due diligence and verify the authenticity of the items before being listed. Adding any disclaimer or statement does not clear your responsibility as a vendor or seller to provide an Authenticity Guarantee. It is also against our policy and is not permitted.

ENFORCEMENT

    • Withhold your payments
    • Charge for any additional administrative costs incurred or associated

Collectors Elite does not take responsibility for any items listed or sold on our marketplace, and shall not be held liable for any losses, damages, or disputes which may arise. Vendor Members are solely responsible for ensuring all items are legal for sale, true to description, Authentic and conform to all laws, regulations and the Terms of Use & Services Policies of Collectors Elite.

Our Grading and Appraisals Requirements are a part of our Terms of Use & Services. This Grading and Appraisals Requirements Policy may be changed or updated over time, as per the terms of Collectors Elite's Terms of Use & Services.     COMMUNICATION & MEMBER CONTACT

    Communication amongst Members is an essential daily task, and we encourage open conversation safely and respectfully. Collectors Elite not only works hard to maintain a safe community, but we have also invested significant time and resources to develop our marketplace.

    In efforts to preserve the integrity and safety of our Collectors Elite's community, all messages and communications are screened and monitored.


    All Community Members must refrain from:

      • Use of offensive language, hate speech or discrimination and threatening messages
      • Sending spam, spoof, marketing or promotional material
      • Communication with intent to extort or obtain discounts, refunds, returns or case claims
      • Exchange of any personal contact information
        • Email addresses
        • Phone numbers
        • Social media accounts, usernames, accounts or contacts
        • Address or shop/store locations
        • External Website(s), web addresses, or links
        • Any other contact info
      • Promotion of external sales channels or offsite transactions
      • Sending best offer requests to members
      • Distribution of any Illegal or ill intent material or content
      • Sharing Photo(s) or any images not product-related
      • Including Payment information
      • Shop names or references
      • Messages or Emails impersonating or representing Collectors Elite

    ENFORCEMENT

    Collectors Elite monitors all communication and messages for fraud, abuse, spam, and other violations of our Policies. Collectors Elite also conducts follow-up checks with customers after transactions to ensure Vendors do not include added material(s), or for any activity which may violate any of our policies

    Members found in violation and not following our Terms of Use will be removed from Collectors Elite and may result in loss of seller & buyer privileges, delisting of items, the suspension or termination of shops & memberships, loss of access to site & services. All balances owed, contractual obligations, outstanding fees are still the legal responsibility of its members.

    REPORT A MEMBER OR ABUSE
    If a Community Member has threatened you, violated or abused any of our Terms Of Use Policies, please report it to us immediately. Please include the members' name, any screenshots or links which may assist in your report.     ORDER FULFILMENT

    Ship using Professional Packaging in a Timely Fashion

    Collectors have a certain level of expectation when buying and receiving goods. Remember, you are shipping a high-value collectible to a fellow member, deliver the best service & experience possible.

    Mandatory Tracking & Insurance

    To prevent loss, damages, and to offer the best end to end customer experience, we require all packages be shipped only using full tracking, signature delivery and insurance to the actual value of goods & contents.

    FUFILMENT & SHIPPING REQUIREMENTS

      • Vendors are required to fulfill all Orders once placed and paid for in full
      • Orders must be shipped using Full Tracking, including destination country tracking
      • Shipping should include Signature Receipt & insurance to the actual value of goods & contents.
      • Ship in professional packaging using appropriate protective measures
      • Ship in new, unused, non labeled, new packaging materials only
      • Document & Maintain a personal record of the fulfillment & shipping process
        • Detailed pictures of the item(s) before packing
        • Photos showing the use of safe packing methods & packaging materials
        • Video documentation is also highly suggested
        • Copy of package acceptance & delivery receipts
        • Pack & dispatch all orders within the stated handling time
      • Ship orders using the appropriate delivery service for the delivery time frame stated


    SHIPPING COSTS, DUTY & FEES

    Vendors are obligated to fulfill all orders placed, even if you have miscalculated any additional costs or shipping expenses. It is also the responsibility of all merchants, members, and users to follow all local and destination laws and duty requirements. Applicable import duties are the responsibility of buyers to pay.

    PACKAGING MATERIALS

    All orders must be shipped using new packaging materials and in a safe & professional manner. As a vendor, you are responsible for the safe delivery of all goods. Collectors Elite conducts personal follow-ups with each buyer to ensure all items arrived safe, as described, and in a professional manner.

    Best Practice:

    Use New Boxes & Bubble mailers only:

      • Do not re-use a shoe box, appliance or any other used /off branded boxes
      • Use Crush proof boxes, avoid any possibility of shipping damages
      • Use new bubble mailers only

    Use Leak Proof Mailer Bags

      • Cardboard is not waterproof
      • Protect all items against possible rain or liquid damage during transport

    Securely Pack all Items & Contents

      • Make sure your contents will not get bent or damaged during transport
      • Use Bubble mailers & pack in a shipping box
      • Use of Bubble wrap, safety foam, shipping cubes
      • Avoid the use of Newspaper
      • Newspaper can often be great to secure items when shipping, but the ink can also rub off and damage the contents
      • Use proper packing tape to ensure your box is sealed

    Protect Retail Boxes & Packaging

      • Any damage to retail packaging can often severely devalue a Collectable
      • Take into full consideration, Retail Packaging of a Collectable is just as important as the item itself. Collectors expect the packaging to arrive free of damages
        • Be sure to clearly state and list ANY visible damage in your listing
        • Failure to list even minor surface scratches, indents, corner imperfections, dust etc. may result in a buyer claim against you
      • Use corner protectors, or add extra packaging to secure plastic or flimsily goods
      • You are responsible for any damages, including the items retail box/package


    DOCUMENT YOUR SHIPMENTS

    Despite best practice, packages can go missing or get damaged in transport. For this reason, we require all sellers to take detailed photographs or videos of items before and during the packaging process. Keep all your documentation organized and safe as a shipping carrier may ask for proof for claims. Collectors Elite may also request this proof of this documentation to ensure Vendors are following proper protocol.

      • In addition to photos we also suggest taking video footage to document
      • Document items before packing to show its true condition & details
      • Document to show that you are ensuring the proper care and use of shipping & packing supplies
      • Obtain and maintain a copy of the package acceptance & delivery receipts


    Our Order Fulfilment Guideline is a part of our Terms of Use & Services. This Order Fulfilment Policy Policy may be changed or updated over time, as per the terms of Collectors Elite's Terms of Use & Services.     TRACKED & INSURED SHIPPING

    All orders must be shipped using full tracking service with full insurance coverages.

    In consideration of best practice, we have implemented mandatory requirements when shipping and fulfilling orders. These requirements help to reduce disputes and provides for a better end to end experience for all members.

    Requirements

      • Mandatory Full Tracking with Signature Delivery on all orders
        • including out of country destination tracking capability
      • Full insurance coverage on all items to the actual value of goods & contents
      • Abide by all appropriate laws, duty declarations & import/export regulations
      • Vendors are responsible for the safe delivery of all packages and contents
      • Provide customer service and care for a seamless transaction
      • Any orders damaged, lost or with courier issues are the sole responsibility of the Seller or Vendor to resolve and settle
      • Vendors/Sellers may be required to refund or have funds held in the event of a courier dispute until settled


    TRACKING

    When you mark an order as complete, we will ask you for the Shipping Carrier and valid tracking number. No exceptions. Remember, Vendors are obligated to fulfill all orders placed, even if you have miscalculated any additional costs or shipping expenses.

    INSURANCE

    Despite best practice and shipping using professional packaging or carrier choices, things can and will happen. Packages often suffer damage or are miss-delivered or lost in transit. In addition to mandatory tracked shipping, the use of signature delivery and full insurance coverage on all orders is MANDATORY. These pieces of documentation are a way to prevent and to recover any losses which may be incurred by both parties. This is also why our Order Fulfilment Policy requires our Vendors to photograph and carefully document items while being packaged and processed.

    NON-DELIVERY

    If a package is subject to "NON DELIVERY" or non-delivery charges, the buyers shipping address indicated within the order will take precedence. It is the responsibility of all Members to ensure their shipping address is accurate and up to date when placing an order. DO NOT SHIP UNLESS YOU ARE 100% SURE THE DESTINATION ADDRESS IS COMPLETE AND ACCURATE. If you notice any error before shipping, contact the buyer immediately to clarify & confirm information before dispatching packages.
    The return costs of Non-Delivery packages are the responsibility of Vendors. Any additional expenses incurred to re-package or re-ship an order will be the responsibility of the buyer.

    LATE DELIVERY

    All Vendors are required to purchase and use the appropriate shipping service(s) to deliver goods within the set time frame described on the listing or shop policy. Collectors Elite understands that through no fault of the Vendor, shipping delivery delays due to weather, volume, customs, or unforeseen circumstances may occur. Collectors Elite will not hold Vendors responsible for events out of their control if proof of the following are available:

      • The package was dispatched within the appropriate handling time
      • Package was shipped to the correct shipping address on the order confirmation receipt
      • The appropriate delivery service was used for time frame delivery stated on the listing/shops policy

    Reply to messages promptly

        • It is vital to answer inquiries in a timely fashion.
        • Replying on time will not only help gain the confidence of a customer, but also keep them engaged. While a customer is waiting on your reply, they are also searching for alternate sellers or items and may lose interest
        • When replying to a customer, ensure you acknowledge their inquiry and respond with specific details.

    Provide strong service

        • Customers are excited about their purchase(s) and want it now!
        • Be sure to clarify your shipping or dispatch times on listings
        • Post updates should you expect any potential delays such as upcoming holidays or busy season delays.

    As a merchant, all business owners are responsible for the collection of appropriate taxes and remittance to appropriate authorities within the regulations and laws of the seller’s local jurisdiction. Due to the complexity and application of Taxes in multiple Countries, Provinces, and States, any tax calculations are the responsibility of Vendor Members and you as a business owner. Collectors Elite is not responsible for the failure of any merchants to follow, collect, or for tax remittance.


    DUTIES

    When it comes time to ship an order, it is essential to include any required Duty or Customs forms and a copy of the bill of sale, which may be required or necessary. Ensure the actual value of the goods shipped is declared, and be sure to verify with the shipping carrier to make sure full insurance coverage is available with the service selected. Collectors Elite is not responsible for providing or determining the required duty, customs, import, or export requirements.

    In efforts to raise awareness, Collectors Elite may promote your listings, shop, profile, or any related material on third-party shopping sites and shopping engines in our sole discretion. Currently, Collectors Elite utilizes several shopping engines, SEO systems, marketing websites, and services offered by some of the services listed below.

      • Instagram

      • Twitter
      • Kijiji
      • Print & Media Publications

    The promotion and participation of these services are currently free for our Vendor Members. Meaning, while these Advertising Services do charge a fee to list materials or promote and advertise, at present, Collectors Elite is paying for these fees. Collectors Elite reserves the right to change the terms of this program at any time, including additional costs, the addition or removal of platforms, or to end the program (in part or whole) at any time. Users will receive advance notice of any significant changes or announcements.

    SHOP SPECIFIC PROMOTIONS

    Shop owners and Vendors may choose to offer promotions specifically on their shops and items.

    "Sale Promotions" or a “Sale” is a promotion that offers free shipping or discounts on your listing price(s) by a percentage or amount. When a sale is published, it is public and visible to all buyers, or if specific parameters set, available to a selected category or group of buyers.

    "Coupons" or a "Coupon Code" is a specific code that customers use for a discount on an item or free delivery. As a seller, you may create and distribute coupons at your discretion. Coupons are not visible to the public when created. Please note that when you create a coupon code, any user/buyer may use this Coupon Code. All Buyers will be able to redeem this coupon on multiple listings and until any expiration date you have set is met.

    Using any Advertising and Promotions Service(s) offered by Collectors Elite does not constitute an obligation on Collector's Elites part to promote your listings, shop, ads, sales, or related materials. Collectors Elite does not and cannot guarantee that any items or listings advertised, marketed, or for sale will be clicked, selected by users. We also cannot guarantee the related goods or listings will sell.

    All our sellers and vendors are responsible for following Collector Elite's policies and applicable laws and any local rules or regulations. It is the responsibility of all Vendors and Sellers to set and communicate all rules and conditions when sharing Coupon codes. Users are not permitted to generate Sales and coupons or codes for fee avoidance. Any user found trying to avoid fees may have their account terminated.

    Members are to maintain a level of respect on our platform and offline in personal publicly available content, including social media profiles and spaces.

    If you have any questions or would like to report discrimination or hate speech on Collectors Elite, please report it by emailing us abuse@collectorselite.ca. Please include the link to the material, copies or screenshots, or any content so we can proactively investigate your report. All reports will remain anonymous to other members.

    RETURNS & CANCELATIONS
    Due to the nature of Collectable and Memorabilia goods, all sales are final. Buyers and transactions are still protected by our Elite Protection & to our Authenticity & Guarantee Policies.

    CANCELATIONS
    As a vendor, you are responsible for fulfilling all orders once placed and paid for in full. Likewise, buyers are required to satisfy all orders once paid in full with a confirmation. If for any reason, we detect an issue with the buyer, we will notify you as a Vendor not to ship and will issue a full refund for the order. Any re-listing fees in such cases will not apply.

    In the event there is an issue with a buyer's shipping address, and you're unable to ship within your handling time, or at all, please contact Collectors Elite, and we will assist in resolving the issue at hand. Buyers will receive full refunds for any orders which are never shipped or fulfilled and eligible for partial or full refunds for orders not met within the handling time stated.

    CLAIMS
    If a claim is submitted, provide all supporting documentation, and our team will help mediate a solution between the parties. Members have 48 hours to respond to all communication and provide any supporting or requested documentation. If an order arrives as stated but with minor issues that are determined not to harm the value of the goods, the seller will issue satisfactory compensation.

    If a return is required, the party found at fault will issue a return label shipped with tracking and insurance for the actual value of the goods. All goods must ship back within five business days and arrive in the condition sold.


    WHAT IS NOT COVERED
    Due to the nature of Collectable goods, ALL SALES ARE FINAL. The polices and systems we have in place to protect you are called Elite Protection.

    If you bought an item and have changed your mind, unfortunately, we will not accept a claim submission.

    Any offline, offsite, transactions between members will not be covered. It is also against our Community Guidelines and our Terms of Use & Service Policies.
